Freelance Document Controller/Site Administrator

Job Description

Site Administrator/Document controller needed for a large construction site in Manchester City Centre



Starting Monday 8th January



Length of contract - 18 months



Hours 8am to 5pm Monday to Friday



You must have previous experience of working with the construction sector ideally on a construction site



You must have 4 project experience

Job duties:

Site Document Controller

Overall Purpose of the role

* Provide document control administrative support to the Project Delivery Team in accordance with current procedures
* Assist and support the senior management team
* Ensure timely provision of reports and project specific documents as required

General Administration

* Ensure the accurate distribution of all project related documents
* Help maintain the company supply chain database
* Answer incoming calls and deal with queries where appropriate

Reception

* Answer incoming calls and deal with queries where appropriate
* Receive all visitor in a professional and courteous manner
* Ensure visitors are made comfortable during the visit
* Record and relay any message to the relevant person
* General housekeeping of the communal areas (meeting rooms & kitchenette)
* Receiving and distributing post and collating outgoing mail at the end of each day

Document Control

* Document control for the live construction project
* receiving a logging of all drawings and documents into 4Projects in a timely manner
* Filing correctly
* Ensuring hard copies of the latest documents are available to the site team
* Preparation of O&M Manuals as project completion

Clerical Administration

* Document control for the live construction project
* Office filing for the construction project via the online portal
* Maintain project related diaries and telephone lists
* Collating and typing sub-contract orders and pre- let minutes
* Attend and minute meetings as requested.
* Prepare, publish and distribute minutes as requested
* Provide Clerical support to all managers as required
* Prepare meeting room(s)
* Arranged refreshments for meetings as required
* to do stock takes and order stationary where required
* Ensure all goods received registers and maintained and submitted on a weekly basis.
* Arrange maintenance visits for photocopiers/ printers and plotters
* Maintain the induction documentation accordingly
* Maintain and collate security documentation
* Uploading all project documents to 4Project

Reports

* Compile and issue weekly and monthly internal and client reports

Health & Safety

* Comply and promote effective health and safety procedures in your work including maintaining site files

General Responsibility

* to ensure the Project Manager is informed promptly of any matter which could impact the site operational effectiveness
